Credits and billing
Credits
Credits are the portal's billing unit. They are consumed when you convert content, use AI features (quiz, translation, narration, podcast), store files or — depending on your organisation's plan — when learners view slides. In the "Credits" area you see balance and usage; every action is billed individually, so usage stays transparent.
Consumption per slide view
Depending on the plan, playback is billed per viewed slide. You thus pay for actual use rather than for unused licences. Which consumers (import, slide view, narration, podcast, translation, quiz, help chat) consumed how much is broken down by the consumption report in Administration, by organisation and period (→ "Administration").
Storage costs
Storing uploaded files costs 52 credits per gigabyte and month by default. The "Check upload" dialog shows this cost before every upload as an estimate based on the file size — nothing is charged at that point.
Billing model: per use or flat rate
Every organisation has exactly one billing model:
- Per use — every use is billed individually in credits, so you pay according to actual effort. This is the default.
- Flat rate / month — your organisation pays a fixed monthly amount; individual amounts are irrelevant to your invoice.
The billing model is a contractual matter. It is therefore not set within your organisation but by the platform administration in the organisation management (→ "Administration"); your organisation cannot switch it itself.
Showing prices
Whether amounts in credits and euros are displayed at all is your own decision. In your organisation's settings you will find the card "Show prices" with the switch "Show costs and prices in the portal". It applies to every place where costs appear — when uploading, when narrating, when translating and when generating questions.
Three points matter here:
- Who may change it? Only users with the price-display right, usually your organisation's administration. Whether an individual person gets to see amounts additionally depends on their own permission: a price is visible only if the permission and the organisation setting agree. The setting can therefore only hide prices in addition — it never shows anything to someone who lacks the permission.
- The flat rate always wins. If your organisation is billed at a flat monthly rate, individual prices are never shown — not even when "Show prices" is switched on. The switch is disabled in that case, and a note explains why: anyone paying a flat rate would be misled by individual amounts.
- Hiding does not mean free of charge. The setting governs the display only. Credits continue to be booked exactly as before.
Default: new and existing organisations alike are set to per use and do not show prices. Anyone who wants to see amounts has to switch it on deliberately.
Pricing and calculation transparency
How credits are derived is transparently configurable: by default 1000 credits equal €1 (sale rate) and storage costs 52 credits per GB and month. Administrators see and change these values on the "Pricing" page in Administration — which also lists the token prices of all AI providers and models, their use in the system, and the break-even credit amount per 1 million tokens (→ "Administration"). This keeps it clear for your organisation what an action costs.
Topping up
In the credits area you purchase credits through a payment provider (e.g. Mollie); the amount paid is converted into credits at the configured rate and added to your account. Actions that consume credits only run again once new credits are available — top up in good time.
Billing address
You maintain the billing address in the corresponding settings area; it is used for receipts and invoices.
